Mamava Pop-up Pod Rentals: A Step-By-Step Guide for Setup and Return

Mamava Pop-up Pods are available for short term event rentals. Follow these steps to ensure you have a smooth experience and help keep the unit in great shape for the next renter.

Before Your Rental Arrives

  • Confirmation email – Once your order is placed, check your inbox for an order confirmation email. This will include a summary of your order details and a link to the User Guide. Keep an eye out for the shipping confirmation email in the weeks before your rental period.

  • Scope out your spot – Ensure you have an indoor area that’s flat, dry, and well-ventilated. It should be large enough for the pop-up pod (10’ x 10’ space recommended). For privacy, place the pop-up pod away from overhead viewpoints. 

IMPORTANT NOTE: Our pop-up inflatable pods must only be operated and stored indoors in a dry, well-ventilated environment, protected from moisture, extreme temperatures, and outdoor elements.They are not to be used outdoors.

  • Check power requirements – Inflatable pods require one standard 15A (or 20A) 120V outlet to remain inflated. The power supply should be located within 25’ of the setup site. Do not use power cords that Mamava hasn’t supplied.  

IMPORTANT NOTE: Unplug during off hours. Inflatables should not be left inflated/plugged in overnight.

 


Once Your Rental Arrives

  • Inspect the package(s) – Look for visible damage to the shipping bin and contents. If anything looks damaged, contact us immediately at fulfillment@mamava.com.
  • Check for included items:
    • Pop-up pod + pump/blower components
    • Power cord
    • Repacking materials + pre-paid return label
    • User guide

Note: The pull-up banner comes in its own reusable box.

  • Set up your pod – Follow the User Guide for detailed instructions on how to unpack and inflate. Pods inflate in three minutes via integrated pump. Requires power to remain inflated. Don’t forget to unplug during off hours!
    • Complete your setup: Ensure breastfeeding attendees feel welcomed with some additional amenities and considerations:
      • Pre-event communications to inform attendees about the space
      • Clear wayfinding and signage at the event venue
      • List your event on the Mamava app
      • A comfortable chair
      • A small table for a breast pump
      • Mini fridge for milk storage (labeling supplies as a bonus)
      • Storage for attendees' breast pumps
      • Small trash can
      • Sanitizing wipes for breast pump parts and hand sanitizer
      • Welcoming extras: tissues, bottled water, flowers
  • App listing – Once you provide the information needed for an app listing during the Booqable check-out process, you will receive an email with an app listing mock-up within 3 business days of your event start date. You’ll have an opportunity to make changes to the listing once you review your mock-up. On the first day of your event, your app listing will go live and at that time you can upload pictures for your listing directly in the app. Be sure to grab photos that show the larger context of where the pod is located. 

During Your Event

  • Keep the pod plugged in and the blower running while in use.
  • Do not leave the blower running overnight or while unattended.
  • Monitor cleaning - especially if it’s a multi-day event.
  • Promote the pod with wayfinding signage or mention in event amenities resources.

Troubleshooting

  • Not inflating?
    • Check that the unit is securely plugged into the correct outlet.
    • Verify the outlet works (test with another device).
    • Ensure the air intake and vents are not blocked.
    • Remove the fan from the back of the pod (velcro around the fan opening) and check the screws on the exterior and interior of the fan. It's possible one of them came loose and needs to be tightened.
  • The fan is working, but it’s noisy?
    • Reposition the fan so it has ample airflow and is not blocked.
    • Gently shake the fan to adjust the fan motor and realign any loose components.
  • Notice a small tear while the pop-up is inflated?
    • Patch the small tear with clear packing tape. The pod will remain inflated as long as the fan is running.

If Damage Occurs

  • Unplug the pod and stop using it immediately.
  • Take photos of the damage.
  • Contact us at fulfillment@mamava.com to report the issue before returning. We’ll guide you through next steps — small patches can be repaired, but severe damage may incur fees.

Returning Your Rental

  • Deflate + fold  – Post-event, deflate and pack the pod back into the blue reusable bin. The pod will fully deflate in approximately eight minutes. Follow the specific folding instructions in the User Guide.
  • Pack everything – Include the inflatable pod and blower components, power cords, instructions/user guide, and repacking materials. Then secure the top of the bin using the provided zip ties. The pull-up banner does not fit in the bin and will have its own reusable cardboard box lined with xps foam for secure shipping.
  • Locate return label – The pre-paid label is included on your shipping crate. Peel the original shipping label off the bin to find your return shipping label beneath.
  • Return to your nearest UPS drop-off location
    • Follow the carrier instructions included in tracking email. Pods should only be returned through UPS, but FedEx drop off locations will be provided if you specifically requested a FedEx return. We’ll return your security deposit once the pod has been returned and inspected by our team. Missing parts and/or damage may be subject to fees as listed in the Terms and Conditions.
